Chronomancer is a small scheduling tool: a website and a Discord bot that help a group find a time to meet. It is run as a personal project by Henry Rudolph ("I", "me"). This page explains what information it keeps, why, and what you can do about it. I keep it short and I only collect what the tool needs to work.
What I collect
From Discord, when you log in or use the bot. Your Discord user ID, your display name and your avatar link. Logging in asks Discord for the identify permission only. I do not ask for your email address, your list of servers, your friends, or your messages.
What you give the tool. Your time zone (reported by your browser), the groups you create or join and your role in them, the times you mark as available, maybe or not available, your votes, and your answers to "I'm in" or "Can't make it" on reminders. For groups linked to Discord, the ID of the Discord server and channel, and the IDs of the bot's messages and events there.
Technical data. A login cookie (see below). Like most servers, mine and my hosting provider's keep standard technical logs, such as IP address, time and the page requested, for security and troubleshooting. They are not used to track you.
What the bot can and cannot see. The bot answers slash commands and button presses. It does not read the messages in your channels. It checks whether a group member is still in the Discord server, so people who left stop being counted.
What I do not do
No advertising, no analytics or tracking scripts, no selling or renting your information, and no payment details (the tool is free). I never see your Discord password: Discord handles login.
How the information is used
To show you your groups, collect availability, rank the best times, run votes, send reminders and announcements through Discord (including direct messages to group members), keep the service secure, and fix problems.
Who can see it
Other members of a group can see your display name, that you are a member, whether you have answered, and the group's combined results. The group's organizer can see who is a member. Behind the scenes the information is handled by Discord (for login and the bot) and by my hosting provider (which stores it). I share it with others only if the law requires it.
Cookies and fonts
The site sets one essential cookie to keep you logged in. It holds a random session code, lasts 14 days, and is removed when you log out or delete your data. There are no other cookies. The Dungeons & Dragons theme loads its fonts (Cinzel and Crimson Text) from Google Fonts, so choosing that theme makes your browser contact Google, which can see your IP address. The Plain theme uses your device's own fonts and contacts no one else.
How long it is kept
- The grid of availability you marked is deleted about 14 days after a session is decided or called off.
- Groups, sessions and votes are kept until the group's organizer deletes the group. Deleting a group removes its data and its Discord events.
- Your profile and memberships are kept until you delete your data (below).
- Technical logs are kept for a limited time by the hosting provider.
Your choices
Delete my data. On the home page, the "Delete my data" button removes your profile, group memberships, availability, votes, attendance answers and logins, and logs you out. If you run a group, delete the group first (the Delete button next to it). It cannot be undone. It does not remove things that exist inside Discord itself, such as messages the bot already posted or direct messages already sent to you, and what other members already saw (a past session or the combined results) stays because it is not your personal data.
Stop reminders. Leave the group, or turn off direct messages from this server in your Discord settings.
Ask me. You can email me to ask what is held about you, or to have it corrected or removed.
Children
Chronomancer is not meant for anyone under 13, which is also Discord's minimum age. If you believe a child's information is held here, tell me and I will remove it.
Where it is stored and security
Information is stored on servers run by my hosting provider, wherever that provider operates, and sent over an encrypted connection (HTTPS). Logins use signed cookies and can be ended from the server. No system is perfectly secure, but I keep the amount of data small and limit who can reach it.
Changes
If this policy changes, I will update the date above. Material changes will also be announced where it is reasonable to do so.
